Job Description

Organizational Context and Scope:-

Under the overall supervision of the Program Manager and in the direct supervision of the Grants Manager, the Senior Database Coordinator will manage IT and database support to the program. This includes managing IT staff, developing a strong understanding of the program grant cycle and its various components (narrative, financial, logistical, procurement, and other aspects), as well as ensuring the proper filling of grant documents, regular updating of the program database and OTI Anywhere, and generation of reporting and analysis for external and internal purposes.

Responsibilities and Accountabilities:-


  1. Manage and oversee, in coordination with the Grants Manager, the program database in order to maintain and employ it for reporting requirements and project tracking. This includes proposing and developing tools to contribute to improved donor reporting, proposing changes to database to improve its efficiency and effectiveness, and ensuring the database complies with donor and organizational policies, procedures, and regulations.
  2. Manage the document registry; updating of amendments, weekly updates, yellow lights, locations, and coordinates; and moving of grants to complete and closed. Design mechanisms to track the various stages in the grant file review cycle as well as further streamline the review process.
  3. Lead the orientation and training of all new program staff, in coordination with Grants Manager, on the web-based database/OTI Anywhere and continue to provide support to colleagues on web-based database/OTI Anywhere, as required.
  4. Develop and update training materials for the web-based database, in coordination with the Grants Manager.
  5. Develop and generate program and financial reports. This includes reconciliation and managing of financial tracking (PCF) in the web-based database, updating the grants disbursement for senior management, and generating a multitude of reports from the database for analysis and reporting purposes.
  6. Supervise the database assistant to ensure the program database is properly updated and maintained, including close liaison regarding grant tracking related tasks.
  7. Regularly coordinate with the Procurement, Operations Unit and the Monitoring & Evaluation Unit to track grant documents and ensure that all mandatory information is collected and saved on OTI Anywhere.
  8. Maintain the Grant Document Verification tracker for closed grants.
  9. Oversee the Senior IT and GIS Assistant’s management of IT staff in Islamabad and field offices for the provision of smooth operations and trouble free IT environment for the overall office.
  10. Oversee the Senior IT and GIS Assistant’s management of VPN for third party contract staff, including maintenance, monitoring and provisioning of role-based access to VPN.
  11. Oversee the Senior IT and GIS Assistant’s management of Google Apps for Ptinitiative.org with more than 165 users, including configuring and managing the email distribution groups for ptinitiative.org.
  12. Perform other duties as directed.



  • Knowledge and understanding of current trends and developments in information technology;
  • Ability to communicate effectively both orally and in writing;
  • IT Certifications will be plus (MCSE,MCSA, CCNA);
  • Demonstrated team work, team facilitation;
  • Knowledge of OTI Web Based Database & OTI Anywhere is essential;

Education and Experience:-

  • Bachelor’s degree in Computer Sciences, BTECH or Equivalent;
  • Work experience of seven years in a similar position;
  • Ability to manage conflict and encourage collaboration;
  • Demonstrated team work, team facilitation;
